Job Summary: We are seeking a dedicated and organized Office Manager to oversee the daily administrative functions of our Cambridge office. Reporting to the Senior Manager of Clinical Operations, you will manage office resources, coordinate schedules, and ensure that the office operates efficiently and effectively. The ideal candidate is proactive, detail-oriented, and passionate about fostering a supportive atmosphere for both staff and clients.


 Key Responsibilities:

  • Oversee daily office operations to ensure efficiency and productivity.
  • Foster a warm and inviting office environment that reflects our commitment to patient care.
  • Greet clients and visitors, offer snacks/drinks and otherwise foster a hospitable environments
  • Ensuring that patients are booked appropriately and appointments are kept on time.
  • Handle incoming and outgoing communications, including phone calls, emails, and mail
  • Manage office supplies and inventory; order and restock as necessary.
  • Coordinate schedules, meetings, and appointments for staff and clients.
  • Serve as the primary point of contact for office-related inquiries and communications.
  • Assist with onboarding new employees, including setting up workstations and providing orientation.
  • Liaise with building management and service providers to maintain office facilities.
  • Support the clinical team with administrative tasks, including client documentation and record-keeping.
  • Ensure accurate and timely submission of insurance authorizations, as well as patient billing, including coordinating with medical billers to ensure claims are processed properly.
  • Organize office events and team-building activities to enhance staff engagement.


 Required Qualifications:

  • Bachelor’s degree or equivalent experience.
  • Proven experience as an Office Manager, Administrative Assistant, or similar role.
  • Strong organizational and time-management skills.
  • Excellent interpersonal and communication skills.
  • Proficiency in office software, including Google business suite and scheduling tools.
  • Ability to multitask and prioritize tasks in a fast-paced environment.
  • Detail-oriented with a focus on accuracy and efficiency.
  • Proactive problem-solving abilities with strong decision-making skills.
  • Passion for mental health care and a commitment to supporting Lumin Health’s mission.


 Desired Skills:

  • Strong customer service skills.

  • Experience in a healthcare or clinical setting.
  • Ability to build strong relationships with clients and staff.
