Job Summary

Numinus is looking for a Care Coordinator to join our growing team. This position will be an integral part of our Clinic Operations department and support our mission to ensure the daily in-person clinic needs and operations, as well as working with our Virtual Rapid Access Clinics (VRAC). This is a great opportunity for those looking to gain medical administrative experience, obtain clinical experience, or learn more about working in medicine.

Numinus owns and operates the Neurology Centre of Toronto (NCT). NCT is a community-based neurology clinic located in Toronto, Ontario with a focus on clinical neurology services, research and advancing neurological services, cannabis medicine, and psychedelic neurology.


  • Registering all NCT/VRAC/Allied Health patient referrals and obtaining all necessary demographic information and accurately inputting all information into the Electronic Medical Record
  • Answering or referring telephone inquiries regarding either patient, physician, allied health, or other clinic needs.
  • Charting all faxes for NCT/VRAC into patient EMR daily or as needed.
  • Coordinating & scheduling telemedicine appointments for NCT/VRAC bookings and Allied Health bookings via OTN or Zoom.
  • Scheduling patient appointments required for NCT/VRAC when needed.
  • Triaging patient referrals or appointments with the guidance of overseeing Neurologists or Providers for NCT/VRAC.
  • Assisting patients if there are technology issues connections for virtual appointment purposes.
  • Answering telephone, emails, and faxes as required for all patient, physician, or other third party needs daily or as needed.
  • Taking and assigning messages as required for NCT/VRAC.
  • Assisting patients to complete online information forms as required for the online clinics.
  • Becoming proficient with online scheduling, updating the VRAC website, and operating the website as needed.
  • Ensuring communication between VRAC, NCT and all involved parties is clear, current, and up to date.
  • Maintain a safe and orderly unit environment.
  • Communicate effectively with your supervisor, other team members, patients, and their families.
  • Collaborating with Lead VRAC Admin to ensure current and appropriate workflows are being conducted and followed.
  • Ensuring website information, online schedule, and provider schedules are current and up to date.
  • Being up to date with new technologies, courses, and any technical requirements as needed.
  • Anticipating the needs and taking initiative within the clinic, VRACS, and all parties involved to support and develop programs and workflow.
  • Assist others with exam room preparation, stock management, general cleaning procedures, and administration tasks when/if needed
  • Maintain a safe and orderly unit environment
  • Follow all guidelines for employees, including under the Occupational Health and Safety Act, and the Human Rights Act.

Job requirements


  • Diploma, College or University Degree in Accounting, Office Administration/Management, Medical Secretary or equivalent preferred
  • Must have minimum 2 years of experience as a receptionist/ office administrator /executive assistant
  • Previous experience working in a medical setting would be an asset
  • Experience with computers and database

  • Excellent verbal/written communication and organizational skills.
  • Must be flexible to work some weekends/evening shifts if required
  • Diligent and hard working.
  • Able to work effectively with a diverse client population including people with developmental disabilities and mental health conditions.
  • Able to work in a fast-paced, high patient volume setting.
  • Able to work effectively in a team-oriented manner as well as work independently.
